Service Tasks track the operational work surrounding each program — setup, teardown, and during-service responsibilities. Attach tasks to programs with timing categories, assign volunteers, and use staffing templates to auto-suggest the right roles.

Quick Start

  1. Open a program in the editor and navigate to the Tasks tab.
  2. Click Add Task and enter a title (e.g., “Set up communion table”).
  3. Set the Timing to Before, During, or After service.
  4. Assign a volunteer and click Save.

Create Tasks with Timing

Open the Tasks Tab

Open a program and go to the Tasks tab.

Add a Task

Click Add Task. Enter a Title and optional Description.

Set Category and Timing

Select a Category (e.g., Setup, AV, Hospitality). Set the Timing:
  • Before — Completed before the service starts (sound check, stage setup)
  • During — Performed during the service (livestream, slide control)
  • After — Completed after the service (equipment teardown, cleanup)

Save

Click Save.

Assign Volunteers to Tasks

  1. Click on an existing task card.
  2. Click Assign and select a collaborator from the dropdown.
  3. The assignment respects the collaborator’s availability and qualifications.
  4. Click Save.

Use Task Categories with Staffing Templates

Task categories can carry staffing templates that auto-suggest roles when you create a task:

Configure in Settings

Go to Settings > Catalogs > Task Categories.

Add a Staffing Template

Create or edit a task category (e.g., “AV Setup”). In the Staffing Template section, define the default roles needed (e.g., 1 Sound Tech, 1 Projector Operator).

Use It

When you create a new task with this category, the template auto-suggests the required roles and quantities.

View Tasks from the Standalone Page

  1. Navigate to Tasks in the sidebar for a cross-program view.
  2. Tasks are grouped by program and sorted by date.
  3. Filter by timing (Before/During/After) or assignment status.

Pro-Tips

Configure staffing templates in Settings before creating tasks — this ensures consistent role suggestions across all programs.
Link tasks to programs rather than creating standalone tasks — this ensures they appear in the program’s print layout and export.
Use “Before” timing for all setup tasks and “After” for teardown. This makes the task timeline intuitive for volunteers.
