The People module is your directory of all collaborators — worship leaders, musicians, volunteers, and staff. Manage contact details, assign volunteer qualifications, set availability, and monitor serving frequency to prevent burnout.

Quick Start

  1. Navigate to People in the sidebar.
  2. Click Add Collaborator and enter the person’s name and email.
  3. Open their profile and click Add Qualification to assign roles they can fill.
  4. The person is now available for Roster assignments.

How-to Guide

Add Individual Collaborators

Click Add Collaborator

Go to People in the sidebar and click Add Collaborator.

Fill in the Details

Enter the Name (required), Email, Phone, and Notes. Set the Type: volunteer, staff, or guest.

Save

Click Save. The collaborator appears in the directory.

Batch-Add Members

Click Batch Add

On the People page, click Batch Add.

Enter Names and Emails

Enter multiple names and emails, one per line.

Add All

Click Add All. Each person is created as a new collaborator.

Assign Volunteer Qualifications

Open the Profile

Click a collaborator’s name to open their profile.

Add Qualifications

Navigate to the Qualifications section and click Add Qualification. Select roles from the team role catalog (e.g., Worship Leader, Sound Tech, Usher).
Qualified roles determine which roster slots a person can be assigned to.

Set Availability and Block-Out Dates

Open the Availability Tab

Open a collaborator’s profile and navigate to the Availability tab.

Add an Entry

Click Add Availability and choose the type:
  • Available — Specific dates the person is available
  • Blocked — Dates the person cannot serve (vacation, travel)

Set Recurring (Optional)

Toggle Recurring for predictable schedules (e.g., unavailable every first Sunday).

Save

Click Save. The roster system respects these dates during assignment.

Review Serving Frequency

  1. Open a collaborator’s profile and check the Serving Summary section.
  2. View how many times the person has served in the past 30/60/90 days.
  3. Compare against other team members to ensure equitable scheduling.

Pro-Tips

Set recurring block-out dates for members with predictable schedules (e.g., monthly travel) — this prevents accidental roster assignments.
Review serving frequency monthly to ensure no volunteer is overburdened. Use the Reports page for a broader view across the team.
Use the staff type for paid team members to distinguish them from volunteers in reports.
