Pastoral Notes let your care team document sensitive conversations, counseling observations, and follow-up plans. Notes are access-controlled — visible only to authorized pastoral staff, never to the member or general team.

Quick Start

  1. Open a member profile.
  2. Go to the Pastoral Notes tab.
  3. Click Add Note and write your entry.
  4. The note is saved with your name, timestamp, and restricted visibility.

Access Controls

  • Who can create notes: Any user with the pastoral care role
  • Who can view notes: Only users with explicit pastoral access for that member’s church/ministry
  • Who cannot see notes: The member themselves, general team members, or volunteers
  • Audit trail: Every note creation and view is logged
Pastoral notes contain sensitive information. Ensure only authorized staff have the pastoral care role in your organization settings.

How-to Guide

Add a Pastoral Note

Open Member Profile

Navigate to the member you met with.

Go to Pastoral Notes Tab

Click the Pastoral Notes tab (shows a lock icon).

Write Your Note

Document the interaction — what was discussed, any concerns, follow-up actions.

Save

The note is timestamped with your name and saved securely.
When creating a care request from a pastoral visit, reference the note for context. The care request is visible to the assigned team, while the detailed note remains restricted.

Pro Tips

Use pastoral notes after every home visit or counseling session. Even brief notes (“Visited Maria — recovering well, will check in next week”) build a valuable care timeline.
